PTA Planning: How to Execute a Safe School Field Trip

The PTA is often responsible for planning a school’s field trips, and it is essential to have a variety of safety regulations in place to protect everyone. To ensure a safe and organized experience, consider making your field trip arrangements well in advance, including efficient packing for a school 
trip, to proactively prevent any potential risks. Here are several ways to make field trips safer for students.

Have Background Screened Chaperones

The teachers in a school will appreciate having chaperones for a field trip, but you must background screen each of these individuals. Some applicants are willing to pay for a background screening that checks for criminal activity, but most school systems will pay for the background screening.

It can take several months to perform background screening when an applicant has moved to several cities or states. It is a good idea to make sure that chaperones are not in any sex offender registry.

Discussions with Students

Before going on a field trip, you should have a meeting with students to discuss a variety ofsafety precautions. While you may think that children will remember the other lectures about personal safety, you can talk about the special situations that can occur during your field trip.

There is a good chance that you can find a video to show to your students about handling certain situations that might happen, including the accidental separation from the group. You may want to decorate your bus or differentiate it from other buses so students know where to find you if they separate from the pack.

Communication Devices

One of the best ways for teachers and chaperones to communicate while on a field trip is stopping by a  two-way radio repeater supplier. These small communication devices are easy to carry around and are more reliable than a cellphone. They also maintain privacy from having to give out your personal information to so many other parents.

By ordering these communication devices from a specialized company, you have technicians who can help you maintain the equipment for many years. If you have each chaperone in charge of several number of kids it is easier to communicate and let each other know who you are missing. Chances are they may be with their friend and another chaperone can spot them before you have a heart attack. These communication devices cost less than the expensive smartphones that many individuals cannot afford.

Arranging Proper Transportation

Do you need to arrange special transportation with buses that can transport all types of students? For a longer field trip, you may want to rent buses that have bathrooms. You will need to determine how many students, chaperones and students can ride on a bus. In addition, you must find a qualified driver who can cope with transporting numerous students.

Paying for the Field Trip

If you have students with affluent parents, then paying for a school’s field trip only requires requesting a fee. However, when you have students who can’t afford this, you must consider other techniques, including having several fundraisers. Some students like to sell items such as candy bars or fragrant candles to help raise the money for a field trip.
